How do you organize and label your files and folders? I need some structure

Up until 2020 I made a new folder every year and just left files there, sorted by either name or date (keeping PSDs and final pics with the same name for organization purposes).

Nowadays I just have folder categories (commissions, that are still divided by year), requests, random, gifts, sketches/studies, and they're all just sorted alphabetically, if I can't find something I sort by date and try that.

everything is in the default windows pictures folder, uncategorized
each time it takes like 15 minutes to find the image i need

I have still to decide how to organize thing but for now i have them in different folders (the name indicates a category)

The files are named in order to let them to be sorted by date, so write them with a yyyymmdd format. For istance...

... A file named today will be "20220420 - <someName>.psd"

For the folder, you might use the following categories:
In progress - psd files to be completed
Completed - psd files completed
Released - images from the psd files

Eventually you might even use sub-categories such as humans, backgrounds, furrys, mechas...

Instead of making multiple folders I think I'll just come up with a simple prefix convention (i.e. C for commissions, S for sketches, [brackets] for completed, etc.) and dump it all in a single folder that is sorted by date created/modified.

I was also wondering, how do you keep your sketches?

Right now I have several multi-layered files which makes it really tiresome to move through it all to find something worthy in case I'm out of ideas. I'm thinking about merging it all into a single huge resolution file with all sketches laid side to side

After the prefix, consider to write the date in order to have a direct control to it (something like "c_20220420_optionalName.psd". It could be useful when you have more files that are related to each other.

As for the sketches, I don't have many, most are in my sketchbook, but your problem is that you want to look all of them to see what you want to transform into a finished piece, right?

In this case, consider to install SageThumbs, which will show the thumbnail of your psd files in your explorer just like it would happen with an image. It does not work if the psd is too heavy, but for sketches will work for sure.

If you work with svg files, there is SVG Viewer Extension from GitHub for that

About sketches - seeing thumbnails is not the problem. I use FastStone Image viewer, it can preview .PSDs just fine. The problem with my "sketchbook" files is that they are multi-layered which means that not only I have to click through multiple files but also through layers within those files to fish something out. I think dumping all sketches on to huge 10k+ canvases is better, as long as each sketchbook has a certain theme that is its file name

I was proposing that only to have a direct control. Let's say you have 3 files that you want to always find together. If you edit one of them, you have to edit the others too. That is the only advantage other than assign a not true date for whatever reason someone might have.

Some of the possible reasons: preference of order; a small edit to an old file that to don't want to see to "climb up"

Folders sucks, tags are better, so if you can find a way to tag your files, that'd be better. Problem is, tagging files takes time.

Also depends how you work: is this really worth optimizing for you? If you spend 15min finding all your refs for a project on which you'll spend 10h, answer is no
